What are we looking for?

We are seeking a highly motivated Administrative Assistant to support the CEO's and other management members' schedules and ensure smooth day-to-day operations. Reporting to the CEO’s Executive Assistant, This role involves managing calendars, coordinating meetings, handling travel arrangements, and providing general administrative support to executives. The ideal candidate should possess excellent organizational skills, attention to detail, and strong communication abilities.

Your responsibilities will include:

  • Maintain and organize the CEO's and management members' calendars, scheduling appointments, and internal and external meetings, ensuring optimal time allocation and preventing scheduling conflicts.

  • Arrange meeting facilities, catering, and audio-visual equipment as needed.

  • Coordinate travel itineraries, including flights, accommodation, transportation, and visas, for the CEO and occasionally for other team members.

  • Anticipate and address diverse administrative needs that may arise in support of the CEO's or other company matters. 

  • Prioritize tasks efficiently, adapting to changing priorities and urgent requests.

דרישות התפקיד וניסיון נדרש: 

Academic and professional experience

  • 2-4 years of experience as an administrative assistant or in a similar role, preferably supporting C-level executives.

  • Strong proficiency in Google Suite/Office software tools (Microsoft Office Suite, calendar applications, etc.).

  • High Proficiency in English, both written and verbal.

  • Discretion and professionalism in handling confidential information.

  • Prior experience with travel arrangements and event coordination is a plus.

  • A proactive and resourceful approach to problem-solving.
